The policies below relate to conference registration and the information that we collect during the registration process.  Below the policies is a website disclaimer that governs the use of our websites.

Conference Policies

Refunds

Refund requests for the 2024 conference must be made in writing to ISPD Headquarters on or before 3 June 2024. A 75% refund of the Conference and workshops registration fees shall be given for cancellations received on or before 3 June 2024. No refunds shall be made after 3 June 2024. No refunds shall be made to individuals who attend a portion of the conference. No refunds shall be made for cancellations due to inclement weather. ISPD reserves the right to substitute faculty, or cancel or reschedule sessions because of low enrollment or other circumstances. If ISPD must cancel the conference in its entirety due to circumstances beyond the control of ISPD (including but not limited to, forces of nature, war, terrorism, failure of transportation, weather, accidents, fires, electrical failures, internet failures, strikes, labor disputes, postal delays, explosions, and government orders or regulations), ISPD may refund the appropriate registration fees to conference registrants; no refunds shall be made for travel expenses related to the conference. Attendees who purchase non-refundable airline tickets do so at their own risk. ISPD encourages the purchase of travel insurance. ISPD encourages attendee substitution as an alternative to cancellation (see below). 

Refunds in case of Emergency

If an attendee is unable to attend the preconference workshops or the Conference based on serious illness (of self or a family member), a partial refund (amount paid minus a $55 processing charge) may be granted.  Requestors shall submit the request in writing to ISPD Headquarters. The Program Chair(s) shall review the request to ensure it is in accordance with written policy. No refunds shall be granted for cancelled or missed flights and/or inclement weather.

Attendee Substitution

If you find that you are unable to attend preconference workshops or the Conference, you are welcome to send a colleague in your place. There is no fee to make this change on or before 3 June 2024. Registration substitutions after 3 June 2024 shall be charged a $55.00 processing fee. You must contact ISPD Headquarters at [email protected] to make a substitution and provide new attendee information.

Change of Registration Type for Hybrid Conference

Registration may be changed from in-person to virtual, or vice versa, on or before 3 June 2024 with no additional fee. No changes to registration type may be made after 3 June 2024. If you need to change your registration type, please notify ISPD Headquarters at [email protected] as soon as possible, on or before the deadline.

Payment and Rate Schedule

The registration form must be accompanied by your credit card information or check in full payment of registration fees and events. All non-U.S. registrants shall be charged the U.S. Dollar equivalent at the time the charge is processed, unless otherwise indicated. To qualify for early and regular registration rates, your registration form must be submitted online, emailed, or postmarked according to the registration rate deadlines, and your payment must be submitted online, phoned in, or postmarked according to the same deadlines. (Do not email credit card information; email is not secure.) Registration closes at 12:00 noon EDT (UTC-4) on Thursday, 15 June 2024.

Registration Rate Deadlines
Advance Registration:  On or before 25 March 2024
Early Registration:  26 March 2024 through 3 June 2024
Regular Registration:  4 June 2024 through 26 June 2024

Returned Checks or Transaction Failure

Remittance must be made in U.S. Dollars. A $25.00 surcharge may be assessed to cover any collection fees for failure to pay.

Exhibitors

Exhibitors are subject to the same refund and substitution policies above. They do not qualify for the emergency refund policy because an exhibiting organization can send a different representative if the original representative is unable to attend.

Media Attendance

The Program Committee may issue press passes to representatives of news media outlets that ISPD solicits to attend its meeting and/or approves on a case-by-case basis.

COVID-19 Release and Hold Harmless Agreement

By registering and attending an International Society for Prenatal Diagnosis (ISPD) event/meeting you acknowledge that there is an unknown risk of exposure to COVID-19 through exposure to contaminated objects, as well as through personal contact. Such exposure carries with it a certain degree of risk that could result in illness, disability or death. You agree to release and hold harmless ISPD, its employees, officers, and vendors from and against all claims of damages and liability resulting from exposure to COVID-19. Registrants/Attendees also warrant they are abiding by their state/locality laws regarding COVID-19 restrictions.

Conference Photograph Release

I hereby grant the International Society for Prenatal Diagnosis (ISPD) the irrevocable right and permission to use photographs of me on the ISPD website(s) and in publications, promotional flyers, educational materials, derivative works, or for any other similar purpose without compensation to me. 

I understand and agree that such photographs of me may be placed on the Internet. I also understand and agree that I may be identified by name and/or title in printed, Internet or broadcast information that might accompany the photographs of me. I waive the right to approve the final product. I agree that all such portraits, pictures, photographs, video and audio recordings, and any reproductions thereof, and all plates, negatives, recording tape and digital files are and shall remain the property of ISPD.
